Visio and Project 2021: what they are for and who needs them

Visio and Project often sit next to Office in product catalogues, but they are not part of the usual suite. They are specialist programs: Visio is for diagrams and schematics, and Project is for planning projects over time. If you are wondering whether you need either of them, here is what each one does, how the Standard and Professional editions differ, and what to check before you buy.

Microsoft Visio Professional 2021: when something needs to be drawn

Visio turns processes, structures and systems into clear diagrams in which shapes are connected to each other and easy to rearrange. Typical uses:

• flowcharts of workflows, approval steps and internal procedures;
• organisation charts for a company or department;
• network diagrams – servers, routers, workstations and cloud infrastructure (Visio Professional 2021 includes templates and shapes for Azure and AWS);
• office and floor plans, desk layouts;
• technical schematics, database diagrams (ERD) and software models (UML).

Visio is used by IT administrators, engineers, business analysts, quality specialists and anyone who has to document how things work in a way colleagues can understand at a glance.

Microsoft Project Professional 2021: when a deadline has to be met

Project is a program for planning and tracking projects. You enter the tasks, their duration and the dependencies between them, and Project calculates the schedule and recalculates it whenever something changes.

• Gantt chart – a visual schedule showing when each task starts and finishes.
• Critical path – the chain of tasks in which any delay pushes back the whole project.
• Resources – people, equipment and materials, their workload and the project costs.
• Baseline – a snapshot of the original plan against which you compare actual progress.

Project is useful for construction and engineering firms, IT teams, agencies and any manager running projects with dozens of tasks and several people. For a short to-do list it is usually far more than you need.

Standard or Professional – what is the difference

Visio

Visio Standard covers the core business diagrams – flowcharts, organisation charts and simpler schematics. The Professional edition adds the specialist capabilities Microsoft lists for it:

• detailed templates and shapes for network diagrams and cloud architecture;
• ERD and UML diagrams for systems and software;
• engineering templates, such as electrical schematics and piping and instrumentation diagrams (P&ID);
• extended support for BPMN 2.0 and rules for validating diagrams;
• linking shapes to data from Excel, SharePoint lists and SQL Server, with automatic refresh and data graphics.

Project

Project Standard is designed for working on projects on your own. Project Professional adds the Team Planner view for assigning tasks across the people in a team, as well as the ability to connect to Project Online or Project Server, which larger organisations use to manage projects centrally.

They are not part of Office Professional Plus

A common question is whether Visio and Project come with Office 2021 Professional Plus. They do not. The suite contains the familiar apps such as Word, Excel, PowerPoint and Outlook, while Visio and Project are separate products – each with its own product key, its own installation and its own licence. If you need both, you buy them separately.

System requirements and compatibility with Office

Before you buy, check a few things:

• Windows only. Visio and Project are desktop programs for Windows 10 and Windows 11. There are no macOS versions – Microsoft states explicitly that Project is not available for Mac, and desktop Visio likewise installs only on Windows.
• Same architecture. All Office products on the computer must be either 32-bit or 64-bit. You cannot install 32-bit Visio alongside 64-bit Office, or the other way round.
• Same installation technology. Visio 2021 and Project 2021 install using Click-to-Run. Microsoft does not support products with the same internal version but different installation technologies on one computer – for example an old Office 2016 installed with Windows Installer (MSI) alongside Visio 2021. • The safest combination. Office 2021 together with Visio 2021 and Project 2021 – products of the same generation. According to Microsoft, Visio 2021 and Project 2021 can also work with Microsoft 365 Apps, provided Microsoft 365 is version 2108 or later.

Microsoft support: what you should know

According to Microsoft's product lifecycle pages, support for Office 2021, Visio 2021 and Project 2021 ended on 13 October 2026. The programs keep working normally, but Microsoft no longer releases security updates or provides technical support for them. If you plan to use the program for many years on an internet-connected computer, take this into account. If you only need it occasionally

If you draw a diagram once every few months, a perpetual licence may not be the most sensible choice. The honest alternatives are:

• Visio in Microsoft 365. A web app for viewing, editing and creating basic diagrams in the browser. Microsoft includes it in the Microsoft 365 Business Basic, Business Standard and Business Premium plans.
• Visio Plan 1 and Visio Plan 2. Subscriptions with more templates and shapes; Plan 2 also includes the desktop app.
• Planner or Excel instead of Project. For a simple task list with owners and deadlines, Microsoft Planner from the Microsoft 365 business plans or a well-organised Excel sheet is often enough. Project earns its place when you have task dependencies, shared resources and a need to track the critical path.
