"Product Deactivated" in Word — what it means and how to fix it

You open Word and above the document you see a red or yellow bar: "Product Deactivated", "Product Deactivated" or "Unlicensed Product". Editing stops, saving is restricted. In most cases the problem can be solved in a few minutes — and you do not always have to buy anything.

First: check exactly what it says

Open File → Account. It tells you which version of Office is installed and what the activation status is. The three most common messages mean different things:

• "Unlicensed Product" — Office is installed, but no valid key has been entered.
• "Subscription Expired" — this is Microsoft 365, not a perpetual Office. The subscription has stopped.
• "Product Deactivated" — the licence was active, but has lost its link to the account or to the hardware.

The six causes, ordered by how often they occur

1. An expired trial version

The most common case on a new computer. The manufacturer installs Office in trial mode for 30 days, or offers Microsoft 365 for a month. After that everything locks. There is nothing to repair here — a licence is needed.

2. The key was never entered

You installed Office but skipped the key step, or postponed it. Open Word, go to File → Account → Change product key and enter the 25-character code.

3. The edition does not match the key

A much underestimated cause. A key for Professional Plus will not activate an installed Home and Business, and vice versa. If File → Account shows one edition while your key is for another, activation will keep failing no matter how many times you try. The solution is to uninstall and install the correct edition.

4. You are signed in with the wrong Microsoft account

If the licence is recorded in one account while Word is signed in with another, Office cannot see the entitlement. Check the top right to see which email you are signed in with. Sign out and sign in with the correct one.

5. The key has already been used on another computer

One licence is valid for one device. If the same key has been activated elsewhere, it will be refused here.

6. Activation with a KMS activator that has expired

If the computer was "activated" with a tool from the internet, that activation renews every 180 days and sooner or later stops. On top of that, the tools themselves run with administrator rights and often bring unwanted baggage — covered in detail in the article on the risks of KMS activators. The answer here is not another activator, but a genuine key.

What to do, step by step

1. Open Word → File → Account and note what it says about the version and the status.
2. If you have a key: Change product key → enter the code → Activate.
3. If it returns an error, compare the edition of the installed Office with the edition the key is for.
4. If it is Microsoft 365 with an expired subscription — either renew the subscription, or move to a perpetual version.
5. If nothing helps, take a screenshot of the error message.

When the licence really is the problem

If the trial period has ended, if the subscription has stopped, or if the computer was running on an activator — no setting will put it right. A valid key is needed. A perpetual licence is paid for once and stays yours, with no monthly fees: Office 2021 Pro Plus, Office 2019 or Office 2016.
